"Add online payments" became a full school-management platform
Talents School, a music school in Minneapolis, came to us asking to "add online payments to the website." After the first interviews it was clear the problem ran deeper. What the school got was its own CRM on Directus that automated scheduling, payments and communication — for the director, teachers and parents alike — with an interface that works like a mobile app.

The director, acting as administrator, personally managed the schedule, tracked payments and handled every lesson change by phone. The off-the-shelf CRM had dozens of unused blocks yet missed what a music school needs, and the subscription was expensive. Most lessons are one-on-one, with a schedule in constant flux — reschedules, cancellations, extra lessons — that generic CRMs simply aren't built for.

Online payments were only the tip of the iceberg. The biggest time drain was manual administration — so the answer wasn't a payment button on the website, but one system built around the school's real processes.

A paid / pending / overdue summary plus payment history by parent and lesson, tied to the number of lessons. What used to be tallied by hand is now calculated automatically.
Parent — your child's lessons in your pocket
Parents see upcoming lessons and payment history, pay online, and book a lesson in three steps — pick a child, a duration (30/45/60 min) and a time — with the request landing straight in the admin panel.
Teacher — the day at a glance
Today's schedule, a student list and availability management; teachers mark lessons themselves and see changes instantly.

The original task solved — properly. Administration is automated, bookkeeping runs on autopilot, and with time freed up the director now effectively manages two locations, off the expensive one-size-fits-all subscription. With Directus at its core, new fields, reports and locations can be added without switching platforms.
